- Napier Port's 2025 gate advisory required digital pre-advice and vehicle bookings for a late-truck process. That historical example gives training a concrete topic: distinguish the booking record from a draft explanation of it. It is not today's gate instruction.11

Ask for quoted wording where an instruction appears to conflict. Review those passages in the originals before changing a depot checklist. This long-document exercise develops careful reading without suggesting that a chatbot determines port access or transport compliance.4

Show the exception process visually
Create an artifact that diagrams a generic missing-reference scenario, from discovery through supervisor review to a confirmed customer response. Artifacts can hold diagrams and small interactive tools.5 Have experienced dispatch staff test each branch with a fictional job. An unresolved booking must end with a named person checking the live system; the visual must never invent a release or clearance.

Draft explanations customers can use
Supply an approved delay explanation and ask for an artifact with separate versions for a customer email and an internal briefing. Preserve the distinction between estimated movement and confirmed movement. Review the language for accidental delivery promises, then export the approved draft into your normal communication process. Claude's editable document output provides a place to refine wording before it leaves the office.5

Practise an incomplete freight handover
- Choose a fictional job with one missing booking reference and remove any real personal details.
- Provide the approved procedure and ask Claude to identify unanswered questions before it writes the brief.
- Check every proposed action with an experienced dispatcher and mark the draft with its reviewer.
- Save the corrected instructions and repeat the exercise with a different exception.
